The Director of Operations (Legal) is responsible for leading the full spectrum of business and operational functions for the firm’s Private Pay sector. The Director of Operations (Legal) will manage daily operational processes with precision while also serving as a trusted advisor to firm leadership and oversee attorney and client lifecycle management, ensure data governance, and implement streamlined workflows that support both efficiency and compliance. In addition, the Director of Operations (Legal) will drive operational excellence across all Private Pay matters, including oversight of workflows, invoicing accuracy, and quality checks to ensure seamless client interactions.
Attorney & Client Lifecycle Oversight
- Oversee attorney onboarding and offboarding processes, ensuring seamless integration and separation, including orientation on billing requirements, firm procedures, and financial systems.
- Lead client onboarding, intake, and offboarding activities to safeguard accuracy, compliance, and deliver high-quality, consistent client experience.
- Act as a trusted resource for attorneys, timekeepers, and staff driving proactive case management to ensure matters remain on track and aligned with both client expectations and firm standards.
Data Governance & Case Management
- Ensure the accuracy, consistency, and completeness of client, matter, and party data across all firm systems, including conflicts, intake, billing, and matter management.
- Partner with conflict team and legal teams to validate data integrity, proactively identify discrepancies, and implement timely resolutions.
- Review and monitor case aging, driving accountability to ensure attorneys and timekeepers remain actively engaged in open cases.
- Oversee management of the ATO card file, including and oversee proper data removal or updates during client onboarding, offboarding, or ongoing business operations.
- Maintain advanced expertise in case and document management systems (e.g., ATO, NetDocs), ensuring adherence to established workflows and best practices.
Financial, Billing & Trust Account Oversight
- Oversee and review client trust account activity to ensure compliance with firm policies and regulatory requirements, serving as a liaison to enforce proper procedures and address discrepancies.
- Partner with finance and billing leadership to ensure accuracy and integrity in client billing, disbursements, and reconciliations.
- Collaborate with billing management and attorneys to identify, troubleshoot and resolve billing errors, or compliance issues efficiently.
- Monitor and oversee end-to-end workflows to confirm all stakeholders (attorneys, finance, billing, operations) meet deadlines and fulfill their responsibilities.
Training & Knowledge Management
- Design, develop, and manage comprehensive training materials for attorneys and client onboarding, billing rules, and financial systems.
- Create and maintain job aids, user guides, and reference resources to support ongoing learning and performance within Private Pay operations.
- Establish and oversee Private Pay training resources for attorneys, staff, and clients, ensuring consistent adoption and effective use of systems.
- Partner with billing management and other departments to reinforce training through continuous learning initiatives and knowledge sharing practices.
Executive & Strategic Partnership
- Serve as a strategic liaison between firm leadership and operational teams, translating organizational goals and priorities into actionable processes.
- Deliver data-driven reporting and insights to senior leadership on client intake, case management, billing, and overall operational performance.
- Drive and support firmwide strategic initiatives, including process redesign, system optimization, compliance efforts, and efficiency improvements.
Operational Leadership
- Execute daily operational tasks with accuracy, attention to detail and follow-through, including client approvals and data creation.
- Active communication with attorneys, timekeepers, and staff to support seamless execution of processes.
- Identify, troubleshoot, and resolve issues across operations, billing, finance, and client interactions, removing bottlenecks and driving process efficiency.
Required Education and Experience
- Bachelor’s degree in business, Finance, Law, or a related field; advanced degree (MBA, JD, or equivalent) preferred.
- A minimum of 5 years of experience in operations, business management, or professional services, with progressive responsibility; law firm experience is a plus but not required.
- Project management or process improvement certifications (e.g., PMP, Lean, Six Sigma) are a plus but not required.
- Proven experience managing complex operational workflows, including client intake, billing, and matter management.
- Strong understanding of business systems and tools, such as billing platforms, case/project management software, and document management systems (experience with legal systems like ATO or NetDocs is a plus).
- Demonstrated experience analyzing operational data and providing actionable insights to executive leadership.
- Experience leading cross-functional teams, driving process improvements, and implementing operational best practices.
- Exceptional communication and interpersonal skills, with the ability to serve as a liaison between attorneys, staff, and senior leadership.
